Your LOS Is Not a CRM: What Independent Mortgage Banks Need From Each

Your LOS runs the loan. A mortgage CRM runs the relationship. See what each one should do, where the line sits, and why Arive plus a CRM works for IMBs.

Your LOS closes loans. It doesn't win the next one.

The difference between an LOS and a mortgage CRM comes down to one line: the LOS owns the loan, and the CRM owns the relationship. Your loan origination system moves a file from application to funding. A mortgage CRM tracks the borrower, the realtor and the next conversation, before the loan starts and long after it closes.

Independent mortgage banks need both. Arive plus a CRM works because each system does one job well, and the loan data flows between them so loan officers never type it twice.

Key takeaways

  • Let the LOS own the loan file. Applications, conditions, pricing, disclosures and lender submission belong in Arive.

  • Let the CRM own the people. Leads, past clients, referral partners and follow-up belong in your mortgage CRM.

  • Sync the two systems both ways. Loan officers should see milestones next to their call list, and updates made in either system should show up in the other.

LOS vs. mortgage CRM: what's the difference side by side?

LOS (for example, Arive)

Mortgage CRM (for example, LoanMaven)

Job

Move the loan from application to funding

Win the loan, then keep the borrower and partner for life

Tracks

The loan file: borrowers, income, conditions, pricing, milestones

People: leads, past clients, realtors, calls, follow-up

Cost

Non-negotiable. You can't close without it

Paid back in repeat, refi and referral business you'd otherwise lose

Time to value

Day one. Every file runs through it

LoanMaven goes live in a day on Salesforce; partner and past-client data keeps paying off for years

Best for

Processors, underwriting handoffs, compliance, lender submission

Loan officers, sales leaders, marketing, partner managers

Risks

Used as a CRM, it buries leads and forgets borrowers at closing

Used as an LOS, it duplicates loan data and creates two versions of the truth

When is the LOS the right tool for the job?

Arive is built for the loan, and it's very good at it. It brings the LOS, a borrower portal and a pricing engine into one place for independent mortgage professionals, then submits files to lenders and tracks their status.

Use your LOS for:

  • Taking the application and collecting borrower documents

  • Pricing and locking with real-time lender rates

  • Clearing conditions and moving the file through processing and underwriting

  • Disclosures and compliance records tied to the loan

  • Lender submission and status tracking through funding

If a task ends when the loan funds, it belongs in the LOS.

When do you need a mortgage CRM?

You need a mortgage CRM the moment your growth depends on people who don't have an active loan. That's most of your pipeline: new leads, pre-approvals that went quiet, past clients and the realtors who send you deals.

Use your mortgage CRM for:

  • Speed to lead. Route new leads and put the next-best call in front of the loan officer.

  • Follow-up cadences. Keep pre-approvals and "not yet" borrowers warm until they're ready.

  • Referral partners. Track every realtor, their activity and which deals each partner sent.

  • Past-client nurture. Reach borrowers at their anniversary, when rates drop, or when they're ready to move.

  • Sales management. Show leaders calls, apps, locks and closes by loan officer and by team.

If a task starts before the application or continues after closing, it belongs in the CRM.

Why does Arive plus a CRM work better than one system for everything?

Common advice says to pick one all-in-one platform so loan officers live in one screen. We disagree. One system doing two jobs ends up doing one of them halfway.

The setup that works draws a clear line:

  • Arive is the system of record for the loan. Status, milestones and conditions live there.

  • The CRM is the system of record for the relationship. Contacts, partners, calls and cadences live there.

  • Arive and the CRM sync both ways. LoanMaven has a two-way sync with Arive. Real-time status and milestone updates show up in LoanMaven's Loans view, next to the loan officer's call list, and updates in LoanMaven flow back to Arive.

The rule: each piece of data has one owner, and the sync keeps both systems current. Nobody rekeys a file, and nobody wonders which system has the latest version.

That's also why we built LoanMaven to work with Arive, not replace it. LoanMaven doesn't try to be an LOS. It gives loan officers a daily call list, a funnel by stage, a referral partner directory and dashboards their leaders can trust.

What do most mortgage teams miss about their LOS?

The LOS treats closing as the finish line. For your business, closing is where the next loan starts.

Once a file funds, the LOS has done its job. The borrower becomes an archived record, and the realtor who sent the deal is a name on a form. Nobody owns the follow-up.

That gap is expensive. ICE's December 2025 Mortgage Monitor found that refinance retention hit just 28% in Q3 2025, and that was a 3.5-year high. If the companies servicing the loan keep fewer than 1 in 3 refinancing borrowers, a lender with no follow-up plan keeps even fewer.

Referral partners slip the same way. At one mortgage team we supported, leadership kept asking a simple question: who are our top partners by realtor, by brokerage and by branch? Nobody could answer it fast. Each team member kept partners in their own spreadsheet, with different names for the same realtor and the same company.

The fix wasn't another report out of the LOS. We set up the partner data in Salesforce and normalized it, so every realtor, brokerage and branch was one clean record tied to the loans they sent. Leaders stopped spending hours building the answer, and they could plan partner outreach ahead instead of reacting.

That question has nothing to do with origination. It's a relationship question, and it needs a system built to answer it.

FAQ

Can Arive replace a mortgage CRM? Arive runs the loan from application to funding, and that's where its strengths are. A mortgage CRM covers what happens before the application and after closing: leads, cadences, referral partners and past-client nurture. Most independent mortgage banks run both and connect them.

What should sync between my LOS and my CRM? Look for a two-way sync, so loan officers see status and milestones without leaving their CRM and updates in either system reach the other. Each piece of data still has one owner: the LOS owns the loan file, and the CRM owns contacts, partners and activity.

Do I need Salesforce to use LoanMaven? No. LoanMaven for Salesforce installs in your own Salesforce org and goes live in a day for shops with up to 500 loan officers. If you're not on Salesforce, LoanMaven CRM is a standalone version with calling, email, calendar and automation built in, and the same two-way Arive sync.
